Set a CPM Employee Signature

The following tutorial explains the process of creating your official CPM signature to be used in your CPM Google email and other documents sent externally.

Create Your Official Employee Signature Image.

All employees need to create their official employee signature image. Once created, save it on your CPM harddrive or in Dashlane to be added to external communications.

1. Use Template to Create Signature

Click the Template Link.

  1. Then click "Use Template"
  2. Once in the Canva template, please fill in all of the following items in the format included in the template. Do not add additional items, to ensure that signatures have a unified look. (You might need to unlock the lock and/or double-click on text in order to edit)
    • First and last name (terminal degrees may be included with a comma. Ex: Rio Jeong, Ph.d.)
    • Pronouns (the pronouns included are examples and not an exhaustive list)
      • Make sure to nudge this closer to the end of your last name, a similar distance as indicated in the image above.
    • Official CPM title
    • Email
    • CPM phone number with extension (if applicable).

2. Upload Your Headshot photo

  1. Navigate to the left bar and click "Uploads".
  2. Click the “Upload files” link & navigate on your computer to your official CPM headshot & select it.
  3. Once added to the selection of photos, drag your photo over to the placeholder image in the signature template and drop your photo into the circle.
  4. (Alternatively, there is CPM artwork that can be used in lieu of a photo)

3. Add Your Uploaded Photo to the Signature Box

  1. Drag your photo (or CPM artwork) over to the placeholder image in the signature template and drop your image into the circle. 
  2. Your photo will be cropped to fit the circle as shown in the signature below.
  3. If you need to adjust the size, double click on the circle with the image and drag any of the white dots until your face is clearly visible within the circle.

Download Your Completed Signature Image.

Once you have filled out the signature template, you need to download the image as a PNG file.

  1. At the upper right, click "Share".
  2. Scroll down, Click "download".
  3. Set your file type to: PNG
  4. Set your image size to: Size x 1 (1,100 x 250)

All employees need to add their signature image to their CPM gmail.

  1. At the top of your CPM gmail, click the gear icon.
  2. Click "See all settings".
  3. Scroll to the bottom to the signature section. Either create a new signature or edit an existing signature.
  4. Edit or create a new signature name.

Once you are editing your existing signature or creating a new signature:

  1. Click the image icon.
  2. Select "Upload".
  3. Drag your CPM signature image you created into the box.
  4. Select.

Once your signature image has been inserted:

  1. Select “Large” and not “Original size.”
  2. Be sure to select your new signature in your default settings.
  3. Save by clicking "Save Changes", found at the very bottom of the screen!

Be sure to send yourself a test email to verify your signature. It should look like the one below with your own information instead of Nick's

If an Apple Mail User, Add Your Employee Signature Image to Apple Mail.

If you send email out through Apple Mail, use the following instructions to add your CPM Signature Image to Apple Mail.

If a Freshdesk Agent, Add Your Employee Signature Image in Freshdesk.

If you are a Freshdesk agent, use the following instructions to add your CPM Signature Image to Freshdesk.

Before starting, make sure you have followed the instructions above to add your CPM Signature Image to Gmail.

There are two parts to this process:

Part 1: You will need to get a URL of your signature image through your gmail settings.

Part 2: You will paste your signature URL in Freshdesk.

Part 1: Obtain Your Signature Image URL

In your CPM gmail account:

  1. Click the Gear Icon
  2. Click "See All Settings"
  3. Find your gmail signature Image. Right click on the image, and select "Open Image in New Tab".
  4. Click the new tab. (It should be adjacent to the gmail tab.) Copy the URL.

Part 2: Add Your Signature Image to Freshdesk.

In Freshdesk:

  1. Select "profile settings" from the account button on the right hand side of the menu.
  2. Click the Image Icon.
  3. Paste the URL on the clipboard from Part 1. Click "Insert.
    • Your signature should now be in Freshdesk.
    • If the image is large, hover over your signature until a small arrow appears. Drag the arrow to shrink.
    • It’s ok to make your best guess.

Troubleshooting

2. When Composing in Gmail, a Plaintext Signature Shows, But Not Your Image.

Check to see if you have a Compose setting that only allows plaintext. If so, follow the steps below to remove that restriction.

  1. Click on Compose to open a new message.
  2. Click on the three stacked dots at the bottom of the message. 
  3. If plaintext mode is selected, uncheck it, and you should be good to go.
